The WordBase window of the School Plan Management software has very similar functions to that of the WordFile window but there is one significant difference, the data is stored within the relational database structure rather than as a document files.
When dealing with a limited number of disk files, directory limits and naming conventions are not such an issue, so the organisational advantages of a database are not significant.
However, when the number of files increases to hundreds or thousand then the controls associated with a structured system become necessary. Data may then be shared, (ie central school pc) without file naming and security concerns; entries may sorted on index fields; data imported and exported in batches based on number, class, subject or teacher name. The frustration associated with searching for a particular 'work unit' should be a thing of the past and the Head Teacher can be assured that valuable work doesn't leave with the teacher that created it.
