Standard Operation - Introduction

If registered then when Import completed, exit program (Alt F + X), and logon using your name (ie Mrs Teacher) and password if you wish to prevent any inadvertent edits or deletions. The system permits edit and deletion of your plans only,unless logged on as the system administrator.

If using the FREE Lite version then select File + Save to update data files (restarting the program does the same job)

To create your own document record, select an example, then select menu Edit + Insert for option to Copy current record. Refer to tutorial for graphic and step by step instruction.

Text can be selected by the usual Windows methods ie click and move mouse or hold down shift key whilst pressing down, right arrow, end key etc. Once selected block text functions are operational.

Use the mouse to click on the area you wish to edit or select, you can use a combination of the Alt key plus underlined letter for menu commands and the tab key to move between fields.

Insert disc in 'floppy' disc drive A: to Import another user's data, if registered Logon to the program using the system administrator's User Name first, also please use Export function to drive C: or A: for Backup and transfer of data to another machine.

If the detail control scrolls up when full, it can be returned using up arrow key etc. or by the scroll bar on right of screen

The print preview, particularly useful when using continuous view mode includes all text on the Preview window .

The Browse facility enables the headings of multiple records to be viewed on screen.

The date is entered automatically when data is changed.

Logon

To access the Document Management application:-

· enter allocated User Name (ie Mrs Teacher)

· press 'Tab' key or with pointing device left-click on Password field

· enter password

· press 'Return' key or with pointing device left-click on OK or press Alt+O.


Passwords

The Password panel is selected via the Utilities Menu.

· Passwords are a minimum of 4 characters.

· A user may change their password by entering new data in the 'Change Password' edit box (all keys show as * ), then press the Tab key and re-enter the same new password in the 'Confirm Password' edit box. Pressing the Enter key or selecting OK shows confirmation that 'Password changed' or issues a Warning advising the problem (ie too short or not identical).

If cancel is selected prior to the 'Password changed' message then the old Password is retained.

· When logged on as the system administrator then selection of the Password panel also shows a 'New User' button, this enables a new 'Teacher Name' and password to be entered. When 'Password changed' message displayed, selection of 'Cancel' retains system administrator username and status. Selecting OK changes identity to new user name but retains status to enable other users to be entered etc.


Stage Selector

The Stage selector may be hidden by using the Pupil button in the 'More Information, section of the About panel.

To show the Stage selector -

· Select About from the Help menu

· Click on the Image on the About panel to show the more information box

· Double click on the text box to show the Pupil button

· Select the Pupil button - Stage menu becomes visible

· Select the Continue button

To hide the Stage selector:-

· use the above procedure which will hide Stage if visible or show Stage if hidden.

Note:-

· Hiding the Stage menu selector also hides the registration functions

· If Exit program is used when Stage menu hidden then Stage will still be hidden when the program is re-started.

· If multiple PC's are networked so they share the same Drive when WordFile4ME is loaded then Stage can be shown or hidden on all workstations.

· Adding or removing the txt file 'bypupil' in the drives root directory hides or shows the Stage menu.

{bmc p_next.BMP} - Next Tip - the tip after the one you can see.

{bmc p_last.BMP} - Last Tip - the end of the list.

Edit Tip Number to jump to a specific entry.

When you have finished reading use the button

{button Close ,CloseWindow(Main)} - Close Window - to return to your document

use the button

{button X ,CloseWindow(Main)} - to close this Help window, also at window top right

The Tip of the Day window can be selected from the Help Menu or it shows automatically at program startup.

 

Notes:-

· Show at startup - when a tick is shown then the panel shows when the application is started, else it is not shown.

· Navigation buttons - consists of First, Prior, Next and Last buttons. If Next is selected at the end of the tips list then the First tip is shown, similarly, Prior goes from First to the Last record.

· Tip number - to synchronise PC's used in office/school, or to just read Tips on a chosen topic then use this edit box to jump to a specific Tip.

· Help button - opens this page.

· Close - select to close the dialogue window, the tip position for each program stage is retained, so when the window is opened again the next tip is displayed. If the last tip is visible when closed then the first tip will be displayed when re-opened.

Search for Help on . . .

Shows the Help dialogue panel which contains tabs for:-

· Contents - double click on a 'Book' to view topics to be displayed.

· Index - type in the first few letters or scroll through the alphabetic listing of keywords.

· Find - enables specific words or phrases to be found.


Primary Key Violation

Press the 'Esc' key to cancel, or change data in Primary Key.

· Automated procedures are used to handle attempts to store duplicated records when appropriate, for example when inserting a new document.

· However, as we need to be clear and concise, there are certain circumstances where automation is not appropriate and you are advised of an attempt to store a duplicate record with the message 'Key violation'.

· Data fields within each database are selected as the Primary Key to assure that all records are unique. If you get a 'Key violation' message then the data within one field of the Primary Key needs to be changed to enable the record to be stored.


Uninstall

All files installed by SETUP can be removed by using Windows 'Add/Remove Program' facility located in the 'Settings' + 'Control Panel' folder.

Any remaining files created by the application in the 'c:\BySchool' directory, ie includes data files, may be deleted without any adverse effect on your computer system.
